What this notice covers
This notice explains how we use personal data collected through this website, synteris.ai. It does not cover the services we provide to our clients, which are governed by our contracts with them.
Information you give us
Our enquiry form collects your name, work email address, company, phone number (optional) and your message. If you arrive from our impact calculator, the form also includes the figures you entered.
Please do not include sensitive personal information in your message.
How we use it
We use your enquiry to respond to it and to follow up about your enquiry. We may occasionally send you relevant information about our services; you can opt out at any time by replying or emailing hello@synteris.ai. We never sell your data.
Our lawful basis
We rely on legitimate interests: responding to a business enquiry you have chosen to send us, and following up with relevant information about our services. You can object at any time by emailing hello@synteris.ai. If you are a sole trader or partnership, we will only send you information about our services with your consent.
Where your enquiry goes
When you submit the form, your enquiry is sent through Make, our automation service, and stored in Airtable. Our team is notified of it through Slack. We send you an automatic email confirming we have received your enquiry.
Our processors, acting under written terms, are Make (EU), Airtable (US), Slack (US), Google Workspace (email) and Framer, which hosts this website.
We protect your data using the controls in our ISO 27001:2022 certified information security management system.
International transfers
Some of our providers are based in the United States. Where your data is transferred outside the UK, we rely on the UK-US data bridge or the UK International Data Transfer Addendum to protect it. Audio from our website voice demo is processed by our voice service on Amazon Web Services in the United States, under the same safeguards.
How long we keep it
We keep enquiry details for 24 months after our last contact with you, unless you become a client, and then delete them. If you become a client, we keep them for as long as our agreement requires.
Website analytics
We use Plausible Analytics to understand how the site is used. Plausible does not use cookies, does not collect personal data and does not track you across other websites. It records aggregated information such as pages visited, referring sites, device type and country. We also count, in aggregate, clicks on our discovery session buttons and submitted enquiries.
Our website host, Framer, also records basic page statistics without cookies.
Voice demo
Our website voice demo lets you speak to a live AI agent. Your audio is sent to our voice service, hosted on Amazon Web Services in the United States, only to generate the agent's replies during the conversation. Conversations are not recorded or stored. The demo is optional and only starts when you choose to use your microphone.
Hosting
This website is hosted by Framer, which processes technical information such as your IP address to deliver the site and keep it secure. Our fonts and site files are served from Framer, not from third-party services.
Your rights
You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict how we use it, to object to our use of it, and to data portability. To use any of these rights, email hello@synteris.ai. We will reply within one month.
Complaints
If you are unhappy with how we have used your data, please contact us first. You can also complain to the UK supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk or on 0303 123 1113.
